ORGANIZATIONAL SUMMARY:
The Office of Financial Aid is responsible for coordinating and administering all student financial assistance awarded to USF students, in compliance with Federal State and Institutional regulations and guidelines. The office is the main point of contact for all financial aid program information for current and prospective students and parents. The office is responsible for: coordinating and managing the awarding and disbursement of over $260 million in financial aid funds on an annual basis; interpreting changes to federal, state and institutional regulations and translating the effect/impact to students and parents in a manner they can understand, particularly first-generation students; providing an array of financial aid support options for students and their families; and providing oversite to monitor the entire process to ensure institutional compliance with federal and state laws and regulations.
POSITION SUMMARY:
Process awards, provide counseling services and resolve problems for an assigned group of students. Advise students and parents on the financial aid process including the awarding and delivery of funds. Verify and review accuracy of data submitted by student and or parents, monitor and evaluate reports to determine workflow.
RESPONSIBILITIES:
Evaluate student/parent eligibility for the Federal Direct and Private loans. Authorize and input awards in accordance with the Federal, State and Institutional policies. This requires a specialized knowledge and thorough understanding of the regulations and guidelines set forth by these entities, as well as a thorough knowledge of office policies in order to minimize institutional liability. Independent judgement and use of discretion in analyzing information is required. Monitors the processing of loans and other specialized processes handled by the team. Communicate with parents/students, lenders and other agencies to resolve loan data conflicts.
Performs specialized duties that may include initial review in the verification of data, recalculation of financial aid applicant's eligibility, setting up electronic loan applications to send or resend, or to clone applications when determined necessary. Makes required changes in the computer system to determine or modify an applicant's eligibility. Responsible for data entry and editing of loan
applications for automated processing. Consults with the team manager regarding unusual cases or system problems and to ensure that automated processes run smoothly.
Advising & Team Referrals: Provides information about the financial aid process, award & delivery of funds process to student/parents on the front counter and via telephone. In order to provide quality customer service, must be able to articulate complex information while demonstrating effective communication skills, tact, patience and sensitivity. Must maintain composure with upset or emotional customers; make independent decisions regarding circumstances which may be considered exceptions to the standard policy; determine when a referral or private consultation with a counselor or the team manager is necessary. Must understand and abide by the limitations of the Privacy Act and interpret financial aid policies and procedures along with University, State, and Federal policies and regulations.
Assist the Team Manager in specialized areas, as needed, working on projects as assigned.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with two years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
PREFERRED:
Associate's Degree and one year of financial aid and\or customer service experience. Experience using Banner Student Information System (OASIS), BDMS Digital Imaging System, ELM, NSLDS, FAA Access to CPS Online, COD and Microsoft Office & Windows systems.
